Terms & Conditions for Bookings

• Flawless Adventure Planners Ltd offers safaris, tours, excursions, transport bookings, accommodation, restaurant meals, and any other services in cooperation with independent suppliers.
• All the travel information provided to clients shall be detailed itineraries and this will be to the best knowledge of Flawless Adventure Planners Limited. All the information provided shall be up to date. We shall not be held liable for modified information from 3rd parties or any obvious typing errors.
• To book permits (gorilla permits, chimpanzee, or golden monkey permits), especially for our primate safari enthusiasts, clients shall be required to provide their full names as they appear in their passport, nationality, and passport number.
• Before confirming a tour, a guest is expected to inform Flawless Adventure Planners Ltd of their travel preferences and special requests in advance, especially regarding the diet, medical needs, and requirements of personnel with disabilities plus any other essential requirements deemed necessary for the success of your vacation.
• All tour packages are subject to availability and can only be guaranteed when confirmed. Take note that the majority of the accommodation facilities (hotels, lodges, & camps) have high demand which is why we encourage all our clients to make their bookings in advance before the planned date of visiting the destination.
• Where a client wishes to amend their booking (reschedule a trip), please Contact Flawless Adventure Planners Ltd early for our team to make such adjustments. All the adjustments shall be made to suit your preferred dates and travel desires. Flawless Adventure Planners Ltd reserves the right to charge an amendment fee relative to the actual costs where needed and shall be added to the total invoice.
• Flawless Adventure Planners Limited reserves the right to change and re-adjust the safari schedule, accommodation, transportation, and services indicated in the trip plan/itinerary in the event of unforeseen circumstances before your arrival. All changes to the itinerary shall be communicated to the client/guest in advance.
• Flawless Adventure Planners Ltd shall enter into an agreement on behalf of its clients with other service providers e.g. accommodation/lodges, gorilla permits, chimpanzee permit bookings, park entry fees, and other relevant terms where applicable.
• Gorilla trekking permits, chimpanzee, and golden monkey permit bookings shall be made within the reservation terms and regulations of the relevant authorities from the respective destinations. Gorilla permits are available for booking by guests/clients at least 2 years in advance and are issued based on first come first served with payment. Flawless Adventure Planners Limited shall not be held liable for failure to secure permits due to the client’s delay in making payment. Note, that a gorilla permit is an essential tool for anyone who plans to visit mountain gorillas in Bwindi National Park, Mgahinga Gorilla National Park, or Volcanoes National Park.
• At times, unforeseen circumstances may disrupt access to the gorillas and when notified by authorities, a client shall also be informed of the developing event. We shall not be liable for any conditions that may result in cancellation, whether closure of the gorilla safari park, borders, absence of gorillas, security changes, or any related causes. Refund shall depend on the relevant authorities but Flawless Adventure Planners Ltd shall do its best to assist its guests while observing partner terms/rules & regulations.
• All tour quotations and offers Flawless Adventure Planners Ltd provides/books should be done based on the stated terms and conditions.
• The tour leader who signifies his/her acceptance of a booking does so on behalf of other group members under his/her authority.

Rates (Terms and Conditions)

• The rates quoted for various tours or safaris shall be based on the itinerary or tour package. The cost may include services like hotels/lodges, meals, activities, park ranger fees, free bottled drinking water on a safari, and transportation plus other essential services relevant to the tour/safari.
• The rates quoted by Flawless Adventure Planners Ltd shall exclude expenses ranging from passport fees, visas, optional activities fees, laundry services, insurance, domestic & international airfares, tipping, and hotel fees after or before the start of your trip.
• Flawless Adventure Planners Ltd reserves the right to make changes to the rates at any time where necessary, especially when there is price fluctuation in the exchange rates/hike in the cost of any safari. But we shall ensure that this is kept within minimal cost.
• The cost or rates displayed on Flawless Adventure Planners Ltd website(s) shall be subject to changes without notification and are not guaranteed until confirmed.

Execution of a Safari/Tour

• Wildlife or game viewing/game drive is one exciting experience to expect on East Africa safari. But note, game viewing may not guarantee you to see all wildlife in the natural wild. On a game drive, always observe the set rules and regulations as shared by the park ranger guide, tour guide, or park official.
• A valid gorilla permit shall be required of a client who travels to trek gorillas in Uganda and Rwanda.
• Chimpanzee permits are also essential for chimp treks in Uganda and Rwanda but don’t guarantee you plain encounter.
• Transportation shall be provided based on the number of clients with keen attention to mechanical conditions. We shall ensure that the means of transportation provided is roadworthy but no liability can be accepted for a puncture, damage, breakdown, or delays to return due to the poor road conditions.
• An experienced English-speaking driver or guide shall be part of the safari. They are the ones acceptable to drive vehicles from Flawless Adventure Planners. The driver may decide on the route and that can be final.
• Accommodation shall be booked based on the class a client desires to stay in and are available as twin/double, bandhas/tents, or single rooms (3 categories: budget, midrange, and luxury).
• Flawless Adventure Planners Limited reserves the right to change any route/arrangement, cancel the operation of any scheduled trip/vary the services in any way in the event of unforeseen circumstances such as bad weather, road closures, problems with game parks or hotels as well as security matters.

Payment

• All safaris shall be booked and confirmed upon depositing 30% of the basic program rate. For the case of gorilla and chimp permits, a full advance payment of the permit fee must be made to have it booked.
• The balance shall be expected from the client not later than 42 days before the start of the safari unless agreed otherwise.
• Bookings made within the space of 42 days before arrival should be paid in full at the time of confirmation.
• Where payment isn’t received as per the terms, Flawless Adventure Planners Ltd reserves the right to cancel the booking.
• Payment shall be made by bank transfer/cash before the safari begins.
• The costs of international transactions including charges should be incurred by the client which often attracts about 3.9% service charge from credit card payment. Take note of the bank charges and ensure that such charges are also cleared to avoid paying less than the amount you required for your safari.

Cancellation and refunds may run as follows

• 60 Days/more before arrival 10% charge.
• 59-32 Days before arrival 25% charge.
• 31-8 Days before arrival 50% charge.
• 7-3 Days before arrival 75% charge.
• 48 hours/less before arrival 100% charge.

Note: 1. Flawless Adventure Planners Ltd reserves the right to deduct all costs/expenses incurred from money paid.

2. Gorilla permits or chimp permits are 100% non-refundable.
3. No refunds shall be made for any unused services, or late arrival/no-show of any of the members of the safari.

Complaints (Terms and Conditions)

Flawless Adventure Planners Ltd shall try to ensure that the company exceeds the expectations in every area of its operation. But suggestions are highly appreciated to ensure that we provide the best service to all clients.

All complaints should be reported immediately to Flawless Adventure Planners Limited representative and the supplier of the service in question for it to be resolved. In case the problem isn’t resolved to the guest’s satisfaction, the complaint should be reported in writing and shouldn’t be later than 30 Days after the completion of the safari.

Flawless Adventure Planners Ltd won’t accept any liability for any complaints not notified as procedure described above.

Age restrictions

Take note of age restrictions for certain activities such as gorilla trekking and chimpanzee tracking in Uganda and Rwanda. Gorilla trekking is conducted strictly by persons above 15 years anyone below that may not be allowed to visit gorillas. Chimpanzee tracking is open to visitors above 12 years.

Terms and Conditions -Health

A client should be fit enough to engage in the safari or activity and ensure he or she is in a better health state. We reserve the right to cancel your trip if you prove not healthy by the authorities.

Marketing

Flawless Adventure Planners Ltd reserves the right to use any pictures or videos taken during the safari for marketing/any other advertising material.
